You can apply text formatting and styles to the description field of your line item table, just as you would in the note field. This feature allows you to highlight key details, add emphasis, and customize your documents for a more professional look.

Since there are no visual formatting buttons directly on the line item table, you’ll need to use specific tags to format your text.

How to Apply Formatting Tags

To apply a style, simply wrap the text you want to format in the corresponding tag. For example, to underline a word, use <u>the word</u>.

Here are the supported tags and their effects:

<b>word</b> – bold the text

<u>word</u> – Underlines the text

<i>word</i> – Italicizes the text

<large>word</large> – Makes the text larger

<small>word</small> – Makes the text smaller

<del>word</del> – Strikes out the text

<red>word</red> – Changes the text color to red

<yellow>word</yellow> – Highlights the text with yellow

The final result, as it will appear in your output document, is shown below.

Managing your business workflow efficiently requires careful tracking of your documents. EasyBilling provides a simple and effective way to do this by allowing you to easily update document status.

By assigning status like “Draft,” “Pending Approval,” “Approved,” “Paid,” or “Completed,” you gain a clear overview of where each document is in your workflow. This not only helps you track progress which documents are awaiting action, but also keep your documents organized and easily searchable.

Now, let’s explore the two methods for updating document status in EasyBilling.

In the document list within EasyBilling, find the document you want to modify and open it.

At the top of the document view, click on the “Private Tab“.

Within the “Private Tab“, you’ll see the current status of the document.

Click on the dropdown menu and choose the appropriate status for the document.

After selecting the new status, click the [Save] button to apply the change.

Updating Status from the Document List (Bulk Update)

This method is perfect for updating the statuses of multiple documents simultaneously.

In the document list, select the documents you want to update.

Once you’ve selected the documents, right-click on any of the selected documents.

A popup menu will appear. From this menu, select the “Change Status” option.

Select the Desired Status: A list of available statuses will be displayed. Choose the status you want to apply to all the selected documents.

The status of all selected documents will be updated instantly to your chosen status.

To enhance clarity, you may wish to modify the default currency symbol, for instance, changing “$” to “US$” to provide a more explicit indication of the currency.

In the main screen of EasyBilling, go to menu “Settings > Currency List“.

In the popup “Currency List”, double-click the currency you want to modify.

In the “Edit” window, find the “Symbol” field. Replace the existing symbol (e.g., “$”) with your desired symbol (e.g., “US$”).

Click the [Save] button.

In EasyBilling, you can create Windows desktop shortcuts for your workspaces, allowing you to launch specific workspaces directly from your desktop. This saves time when switching between different workspaces. A significant advantage is the ability to open multiple workspaces simultaneously, ideal for managing multiple companies concurrently.

The desktop shortcut will use the same EasyBilling icon but will be named after the specific workspace.

Creating a Shortcut for a New Workspace

Variables are powerful placeholders that let you insert dynamic data into your documents. This gives you the flexibility to add personalized and customized content without having to manually type in the information every time.

When you use any of these variables in your document, they will automatically be replaced with the actual content from the document’s data when you print or export the final output.

Dynamic Content Variables

EasyBilling provides six key variables for inserting dynamic data:

[CUSTOMER_NAME] (Customer Name)

[CUSTOMER_ID] (Customer ID)

[DOCUMENT_NUMBER] (Document Number)

[DOCUMENT_DATE] (Document Date)

[TOTAL_AMOUNT] (Total Amount)

[TOTAL_AMOUNT_IN_WORDS] (Total Amount in Words)

Adding Variables to Your Documents

Open the document you want to modify.

Insert variables to add dynamic content. You can type the variable directly into the note field or select it from a dropdown menu (if available).

For example:

To display the document date, insert [DOCUMENT_DATE].

To add the quote total, enter: “The Quote Total is [TOTAL_AMOUNT]”.

Preview your document to confirm that the variables have been replaced with the correct data.

Using Variables in Other Areas

Dynamic variables can also be used in other document areas, such as the footer or labels. For example:

Add [DOCUMENT_NUMBER] to the footer.

Insert [CUSTOMER_NAME] into the signature box.

Prefer to Watch?

In EasyBilling, you can create documents from existing documents using two different methods, depending on the scenario:

Creating a document from a different document type

If you need to generate a document, such as an invoice, based on another type of document, like a quotation, you can utilize the [Generate From…] button within the document.

Let’s take the example of generating an invoice from a quotation:

Start by creating a new invoice.

Within the Invoice window, locate and click the [Generate From…] button at the top right corner.

A document list will appear, allowing you to select the source quotation from which you want to load information.

After selecting the desired quotation, click the [Load to Document] button at the bottom. The information from the quotation will be loaded into the invoice document.

Duplicate Existing Document

If you wish to duplicate an existing document as a new document, you can utilize the Copy and Paste feature in the document list.

In the document list, select the document you want to duplicate, then right-click on it.

From the popup menu, choose the “Copy” option. A brief notification message “Selected document is copied” will be displayed.

Next, right-click in the document list again, and select the “Paste” option from the popup menu.

The document will be duplicated with a new document number assigned.
